This policy explains how MeetFlow ("MeetFlow," "we," "us") collects, uses, and shares information when you use the MeetFlow browser extension and the meetflow.company website (the "Service").

Who operates this Service

MeetFlow is currently operated by an independent software developer based in Russia, registered as a self-employed taxpayer, in the process of incorporating MeetFlow, Inc. in the United States. This policy will be updated to reflect the new corporate entity upon completion of that registration. For questions about this policy or to exercise the rights described below, contact privacy@meetflow.company.

What information we collect

Account information. When you create an account, we collect your name and email address. You sign in with that email and a password.

Call audio and transcripts. When you start a MeetFlow session during a video call, the extension captures the audio of that call from your browser. This audio is sent for transcription, and the resulting transcript is analyzed to produce the live insights shown in the MeetFlow panel and the summary generated after the call.

Usage data. Basic technical information needed to operate the Service — for example, session timestamps and which features you use.

Website analytics. On meetflow.company we use Google Analytics (Google LLC, United States), measurement ID G-F661Q6HTHG, to measure visits, pages viewed, and referrers. This uses cookies and similar identifiers. Google’s own terms govern how it processes this data.

We do not use MeetFlow to browse or collect data from websites unrelated to an active call session.

How your call data is processed

MeetFlow does not run its own speech recognition or language models for the English-language product. Your call audio and transcript pass through the following third-party processors:

  • Gladia (speech-to-text), a company based in France, processes call audio to produce a transcript. Some of Gladia's infrastructure, including storage, is located in the United States.
  • Anthropic (Claude), a company based in the United States, processes the transcript to generate the live flags, questions, and summary you see in the MeetFlow panel.
  • Both of these connections run through our own relay service, hosted in Lithuania.

We chose these providers for their transcription and language-processing capabilities, not because they are affiliated with MeetFlow. Each has its own data processing terms, which govern how they handle data on our behalf in addition to this policy.

How long we keep your data

In MeetFlow's own systems, your call transcript and audio recording are retained for 24 hours after the session ends, then automatically deleted. You can download your transcript, recording, or generate documents (proposal, follow-up) at any point during that 24-hour window — after that, they're gone from our systems.

At our processors. Anthropic's standard API terms do not retain prompt content beyond what is needed to serve the request. Gladia's data processing agreement lists a standard retention period of up to 12 months for data processed on our behalf; we are in the process of confirming the practical retention timeline directly with Gladia and will update this section once that is confirmed.

Model training

Anthropic's API does not use data submitted through it to train Anthropic's models, by default. We have not yet received written confirmation from Gladia regarding whether audio processed through their service is used to train their models, and we will not make a claim about this until we have one. We do not ourselves use your call data to train any model.

Other people on your calls

MeetFlow is designed to be used with the knowledge of everyone on the call. The Service does not join the call as a visible participant, which means the people you're speaking with have no automatic indication that a call is being analyzed unless you tell them.

This is your responsibility, not something MeetFlow does for you automatically. By using MeetFlow, you confirm that you have the legal right to record and analyze the call in your jurisdiction and the jurisdiction of everyone else on the call, and that you have informed participants as required by applicable law before starting analysis. MeetFlow provides an in-product prompt to help you notify other participants, but using it does not by itself guarantee compliance with recording consent laws, which vary by location. If you are unsure whether you need consent for a specific call, check the law in your state or country before recording.

What we don't do

We do not sell your data. We do not share call content or transcripts with advertisers. We do not use your data for any purpose other than providing the Service to you, except as described in this policy.

Security

We use encryption in transit and at rest for stored transcripts and analysis. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your rights

You can ask us to access, correct, or delete the personal information we hold about you by emailing privacy@meetflow.company. If you are a California resident, you have specific rights under California law, including the right to know what personal information we collect and the right to request deletion; we do not sell personal information, so there is nothing to opt out of in that respect. We aim to respond to all requests within 30 days.

Children's privacy

MeetFlow is not directed at, and we do not knowingly collect information from, anyone under 18.

International data transfers

Using MeetFlow means your call audio and transcript may be processed in France, the United States, and Lithuania, as described above, in addition to wherever you and your call participants are located.

Changes to this policy

We'll update the date at the top of this page when we make changes. If a change is significant, we'll make reasonable efforts to notify active users by email.
